Experienced Executive Assistant to the CEO of reNEW

The Novo Nordisk Foundation Center for Stem Cell Medicine, reNEW, based at Faculty of Health and Medical Sciences, University of Copenhagen is looking for an Executive Assistant starting as soon as possible or upon agreement.

The Center:

The Novo Nordisk Foundation Center for Stem Cell Medicine, reNEW has its Hub at UCPH as well as nodes at UCPH, MCRI and LUMC. Researchers within reNEW addresses fundamental questions in stem cell and developmental biology and will pivot research findings to clinical outcomes and products for patients with incurable disorders such as congenital kidney disorders, type 1 diabetes, heart defects, Parkinsons’ disease.

The HUB of reNEW is looking for an experienced Executive Assistant (EA) for our committed and active CEO and Scientific Program Mananger.

You will be part of the HUB secretariat with other colleagues and also be placed among the reNEW Node staff.

Together with the rest of the HUB, you provide flexible and highly qualified service of the CEO of the consortium in reNEW (Copenhagen, Melbourne and Leiden) and act as a central liaison to the node and faculty's stakeholders and partners, both internally and externally.

 

Tasks

  • Primarily operating the CEO and SPM:
  • Calendar management a complex and busy calendar, incl. to plan and book travel and arrange transportation
  • Ensure the CEO always has the right meeting material
  • Supporting the SPM in the processes of managing research applications within reNEW
  • Supporting the SPM in reporting to foundations
  • Data entry for reporting
  • Responsible for mailboxes
  • Set up and proofread letters, invitations and emails - both in Danish and English
  • Receive the CEO's and the rest of the HUB’s guests
  • Schedule meetings with the CEO
  • Answer questions from both internal and external to the CEO about big and small
  • Be back-up for the other colleagues in the HUB, in periods manage the other HUB staff calendars and meeting material as well as provide catering for meetings.
  • Other admin tasks as required

 

We are looking for a colleague who:

  • Has experience with management service of top managers in a larger company, including managing the calendar for the management
  • Goes proactively to your work tasks and always tries to be one step ahead
  • Works well in a front office with many interruptions and sometimes great bustle
  • Has the ability to keep complete control of all details and that you understand why it should be so
  • Is service-oriented without losing the overview and the good mood
  • Is good at understanding other people, while you are not easy to shake
  • Thrives on working independently and on having to involve or solve tasks together with the other HUB staff
  • Is part of the team and understands that knowledge sharing and dialogue are crucial for a good task solution
  • Part of the HUB Secretariat's other tasks
  • Has the opportunity for flexibility with working hours, for example by being able to meet early in the morning or be late in the afternoon as needed
  • Has ease of IT, both when it comes to using systems and handling the dean's IT equipment

HUB Secretariat

You refer to the CEO and will work from the HUB Secretariat. Here the Scientific Program Manager, the Head of Communications and the Chief Financial Officer will be your colleagues.

The HUB secretariat is anchored with the reNEW Node in Copenhagen, UCPH, Panum. 

The HUB secretariat serves the consortium in Copenhagen, Melbourne and Leiden and has a secretarial function for several councils and committees, including the HUB management team, the Local Collaboration Committee, Scientific Leadership Committee etc.

 

Salary and terms of employment

Salary and employment depend on your background under the Organization Agreement for Office Employees (HK) with grading in salary Group 3, rate 2. It will be possible to negotiate additional supplements in accordance with qualifications. Or AC (fuldmægtig level) and the Ministry of Finance with the possibility of negotiating supplements depending on seniority, qualifications and competencies. Working hours are 37 hours per week incl. lunch. Accession as soon as possible.
